General Sales Terms and Conditions

BELAMBRA CLUBS promises to organize, set up and successfully carry out all services mentioned in the contract, as well as any additional conditions agreed to by both parties. The client promises to respect the general sales terms and conditions as outlined below.

 

Bookings are confirmed only after receipt of both the signed contract and the cheque deposit. The non-receipt of any written confirmation, order form or letter of commitment, duly signed, results in its cancellation by our services. Each booking is subject to the payment of a €49 registration fee.

 

All booking confirmations entail a deposit: - 35% of the total amount of the stay or event upon booking. - The balance outstanding upon receipt of the final invoice.

 

The prices in effect at the invoice date are binding starting from the payment of the deposit. Our prices are subject to change according to economic conditions and regulations, in the absence of a booking confirmation resulting from the payment of a deposit.

 

The visitors' tax, collected on behalf of municipalities, is not included in our prices. It is payable on site.

 

BELAMBRA CLUBS must be notified in writing of any cancellation request. The registered cancellation date will be used to determine the following fees: - More than 60 days prior to the departure date, 10% of the total contract amount will be withheld. - From 30 to 60 days prior to the departure date, 25% of the total contract amount will be withheld. - From 15 to 30 days prior to the departure date, 50% of the total contract amount will be withheld. - Less than 15 days prior to the departure date, 100% of the total contract amount will be withheld.

 

A written request must be sent to BELAMBRA CLUBSconcerning any change in services. More than 60 days prior to the departure date, no fee will be withheld. Between 30 and 60 days prior to the departure date, no fee will be withheld within the limit of a -20% variation in the total stay amount; beyond this -20% limit, 25% of the total stay amount will be withheld. Between 15 and 30 days prior to the departure date, no fee will be withheld within the limit of a -10% variation in the total stay amount; beyond this -10% limit, 50% of the total stay amount will be withheld. Less than 15 days prior to the departure date, 100% of the total stay amount will be withheld.

 

Both the seminar department and the manager of the accommodation must receive the list of participants staying at the establishment and the description of the desired services no later than 15 days prior to the event.

 

The rooms are made available after 5 PM the day of arrival. The rooms must be vacated no later than 12 noon the day of departure. Rooms that are not vacated before said time will entail the invoicing of an additional night's stay.

 

The rooms are booked until 7 PM. Extensions possible upon request.

 

The client is responsible for any damage, direct or indirect, that he/she or his/her guests may cause during the stay. BELAMBRA CLUBS may not be held responsible for any damages caused - in particular, due to theft or fire - to objects or equipment left during the event (the subject of the present booking). The client promises to leave the area(s) occupied during his/her stay in their original state and at his/her expense, in the event of any damages done.

 

The client may not bring any food or drinks into our establishments without the prior approval of our Management. VAT Our seminar-package services are subject to a ¾ ¼ VAT; all other services will be subject to a traditional VAT rate.

 

All disputes relative to the validity, interpretation or execution of the present clauses will be subject to the concerned courts.
